Which organisation types can use ExpensePlus?
ExpensePlus is a cloud-based fund-accounting software that’s purpose-built for charities and churches, including CIOs.
ExpensePlus can also be used by other charitable organisations and not-for-profits, such as charitable companies, community groups, CICs, and trading subsidiaries. This article looks at each of the various organisation types, and outlines some of the factors specific to each.
In this article:

Charities, churches and CIOs (Charitable Incorporated Organisations)
ExpensePlus is designed specifically with charities and churches in mind, including CIOs (Charitable Incorporated Organisations). The modules and features in ExpensePlus can help you process expenses, manage donors and Gift Aid, upload payroll data, manage tasks, view live and drillable reports, and prepare end of year accounts to upload to the Charity Commission.
CIOs that are setting up ExpensePlus for the first time should choose the organisation type ‘Church’ (for church CIOs) or ‘Charity’ (for other CIOs).
Charitable companies
Charitable companies can use ExpensePlus. The modules and features in ExpensePlus can help you process expenses, manage donors and Gift Aid, upload payroll data, manage tasks, view live and drillable reports, and prepare end of year accounts to upload to the Charity Commission.
If you’re a Charitable company that’s setting up ExpensePlus for the first time, you should choose the organisation type ‘Charity’.
Digital filing of accounts
Note that ExpensePlus does not currently support filing of accounts using iXBRL tagging. While we are actively considering how we can best help charitable companies do this in the future, we don’t currently have a timeline for this. For more information, see our separate Help Guide article, Digital filing of accounts and tax returns.
Community Groups
ExpensePlus can be used by Community Groups such as associations, sports clubs, and Community Housing trusts. The modules and features in ExpensePlus can help you process expenses, manage donors, upload payroll data, manage tasks, view live and drillable reports, and prepare end of year accounts. If your Community Group is not a charity registered with the Charity Commission, ExpensePlus will have some features that are not relevant to your organisation (such as Gift Aid).
If you’re a Community Group that’s setting up ExpensePlus for the first time, you should choose the organisation type ‘Community Group’.
CICs (Community Interest Companies)
CICs can use ExpensePlus. The modules and features in ExpensePlus can help you process expenses, upload payroll data, manage tasks, view live and drillable reports, and prepare end of year accounts. However, because ExpensePlus is built for charities not companies, it will have some features that are irrelevant to CICs (such as Gift Aid and donor management).
If you’re a CIC that’s setting up ExpensePlus for the first time, you should typically choose the organisation type ‘Charity’.
Note, however, that this may not cover CICs as they are not registered with the Charity Commission, so their accounts are different.
Trading subsidiaries
Some charities operate trading subsidiaries that are separate legal entities from the main charity. These are usually registered as limited companies. ExpensePlus can be used by these organisations, in a similar way to CICs.
If you’re a limited company that’s setting up ExpensePlus for the first time, you should typically choose the organisation type ‘Charity'.
We do offer a ‘multi-charity’ discount for organisations that are formed of multiple legal entities. To find out more, get in touch using the yellow 'send us a message' link at the top of this page.
