How many itemised line items can I include on an invoice?

This article looks at the length of a typical invoice, including how many itemised line items to include, when you might want to use the 'Duplicate item' button, and how to allocate the invoice income to one or more categories.

Deciding how many itemised lines to include in your invoice

There is no limit to the number of line items you can include in an invoice. However, too many lines may become confusing to the customer and will no longer fit on a single page.

To keep the invoice to one page, 8 line items with fairly short descriptions will usually fit. More than that will cause some of the lines or elements of the footer to be pushed onto a second page.

Note, however, that the system can produce a multiple-page invoice if required.

Top Tip: You only need to include multiple lines displayed on the actual invoice for the purpose of itemising the invoice for your client/customer - for example, if the invoice relates to multiple hire dates, contains multiple products, or has a cost breakdown.

Duplicating lines with similar content

If you are producing an invoice with lots of similar line items, you can save yourself time by using the 'Duplicate item' button, found at the end of each line.

Allocating the invoice income to different categories

Irrespective of the number of invoice lines, you can allocate the income to as many categories as you wish by selecting 'Allocate Manually' under Income Allocation at the bottom of the Create Invoice screen.
