How to view and action tasks

This help guide article covers how you can:

View tasks

At the top of the Task Management screen each user can see a summary of:

  • The tasks assigned to them for the current week
  • Any overdue tasks regardless of who in the team these tasks are assigned to. *see blue note below

Note: Any private tasks that you have added won't be visible to other users, and similarly won't be included within the 'overdue tasks' count that other users see.

By default, the task management screen displays all tasks assigned to that user for the current week. There are a number of filters at the top of the screen to change which tasks are displayed:

  • Date Range - the date range filter allows you to view tasks for 'This Week', 'This Month', 'This Year', 'Last Week', 'Last Month', 'Last Year' or enter a custom time period.
  • Status - the 'Overdue Only' view enables you to view only outstanding tasks, 'Hide Completed' allows you to hide completed tasks, and 'All' enables you to see all tasks. *see blue note above
  • Assignee - enables you to filter by assignee or to view tasks for all assignees. *see blue note above

View a summary of tasks from the ExpensePlus Dashboard

A summary of tasks assigned to a user for the current week, as well as any overdue team tasks, can be viewed directly from either of the two versions of the ExpensePlus dashboard screen.

Note: If a user has access to the dashboard screen, but doesn't have access to the Task Management module within their user role, then information about tasks won't appear for that user.

Actioning tasks

If a link has been provided for a task, then you can simply click on the task line to drill to the module or external website link associated with that task e.g. if the task is to 'check receipts' then clicking on the task should take you to the receipts module within ExpensePlus.

Marking Tasks as complete

To mark a task as complete, simply click on the 'Status' checkbox.

When I click on a task, it takes me to the wrong place

To update the link associated with a task, just click the pencil 'edit' button to the right of the task.

Note: if the task is part of your template task set, it might be a good idea to update the template task set too, in order to ensure future generated tasks have the correct link.

Our external bookkeeper has marked tasks as complete, but they are still showing as outstanding within our task management module?

If your external bookkeeper is using the task management feature within their client portal to manage the tasks they do for each of their clients, this doesn't link to the task management module you are viewing.

Top Tip: Either remove the tasks assigned to your external bookkeeper from your task management module OR ask your external bookkeeper to update your task management module (in addition to updating their own task management tool) as they complete tasks.
