Aged Debtors & Creditors report
This article explains what the Aged Creditors & Debtors report is, how to access it in ExpensePlus and how it functions.
In this article:
The Aged Debtors & Creditors report provides a detailed breakdown of money owed to suppliers by the charity (creditors), and money owed by customers to the charity (debtors).
In this report, the debtors and creditors that are outstanding at the date being viewed are categorised by how long they have been outstanding.
This report is really helpful for managing cash flow, monitoring customer invoices and supplier payments that are overdue.
Viewing the Aged Debtors & Creditors report
The Aged Debtors & Creditors report is found within Financial Reports -> Debtors & Creditors -> Aged Debtors & Creditors report.

What the Aged Debtors & Creditors report shows
The report shows the same debtors/creditors that are shown on the 'outstanding' view of the Debtors & Creditors report, but sorted alphabetically by payee name.
Debtors are the customers who owe money to you. Within the report dropdown, look for 'Accounts Receivable (money we are owed)'.
Creditors are the suppliers you owe money to. Within the report dropdown, look for 'Accounts Payable (money we owe)'.
The amounts owed to/from each payee are broken down in columns by age in the following bands:
- Not Due
- 0-30 Days
- 31-60 Days
- 61-90 Days
- 90+ Days
If you want to drill into the transactions that make up the Aged Debtors & Creditors report, select the 'Detailed' view of the report, as explained below.
How the due date is calculated
Where a due date has been set, this is used to determine whether or not the invoice is overdue. Where a due date is not set, or for transactions without a due date, the due date is automatically calculated based on the transaction date + 30 days (standard payment terms).
Manual Adjustments are always shown as 'not due' within this report. These also don't have a payee name.
Aged Debtors & Creditors report 'Detailed' view
Whilst the 'Summary' version of the report enables you to see the Aged Debtors & Creditors report by payee, it's also possible to view individual transactions in the 'Detailed' view.

As with the Debtors & Creditors report, you can drill into any row within the 'Detailed' view of the report to view more details.
