Tracking Donor Engagement

Within ExpensePlus, you can track and view donor engagement in whichever way is most useful for your church or charity. You might wish to use this feature to track which donors attended the different fundraising events you've organised. Or, you may wish to set up and order your engagement steps to map your organisation's new donor journey (newsletter signup -> one-off donation -> regular giver).


Setting Up Engagement Steps

Before getting started, you first need to create Engagement Steps. Click the 'cog' icon at the top right of the manage donor screen to get to the donor setting screen


Within the donor settings screen, select the 'Engagement Steps' view, and then add the Engagement Steps you wish to set up.

To order your engagement steps (which will determine the order they appear within the Manage Donors screen and within the Donor Engagement Summary Report hover over the row in the table you wish to move up/down, then click either the up/down arrow that will appear to the left of the table (as shown above).


Recording Donor Engagement

Within the 'Engagement' tab of the Manage Donor Screen, you can record donor engagement in a really easy, simple and efficient way.

To update a checkbox, simply click on the checkbox you wish to update.

WARNING: Be careful, because this screen automatically saves updates


Viewing Donor Engagement

The Donor Engagement Summary report (within Donation Reports) provides a summary of donor engagement alongside key donation details that you will want to see.

At the top of this report, you can:

  • Filter by Donor Tag
  • Select the dates you wish to see the amount given between (and further filter by fund or by donation method if you choose to)
  • Sort by Donor Name or by Amount Given (largest first)

Deactivating & Deleting Engagement Steps

If you wish to deactivate or delete an Engagement Step, click the 'cog' icon at the top right of the manage donor screen to get to the donor setting screen


Within the donor settings screen, select the 'Engagement' view:

  • Click the 'deactivate' button to the right of an Engagement Step if you are wishing to hide the Engagement Steps from within the Manage Donors screen and within the Donor Engagement Summary Report (deactivated Engagement Steps can be viewed using the button on this screen, and can be re-activated)

  • Click the 'delete' button to the right of an Engagement Step if you are wishing to permanently delete the Engagement Step (deleted Engagement Steps cannot be reinstated)
