Selecting a Transaction Type

When you are reconciling a transaction on the bank reconciliation screen, and you don't have a matching purchase or it is not quick-matched, you will need to click on the transaction to reconcile it.

The popup that appears will ask you to select a transaction type from the drop-down menu.

The options are different for income (paid in) and expenditure (paid out) transactions.

Here is a brief description of each of the options:

For Income Transactions:

  • Named Donation - for a donation given from a donor
  • GASDS Donation - for donations that are eligible under the GASDS Scheme (typically a cash offering)
  • Invoice Payment - where a customer makes a payment against an invoice you have issued
  • Other Income - all other income
  • Mixed Income - where income relates to multiple income types (not relating to cash/cheques banked)
  • Bank Deposit - when you banked cash/cheques (which may include one or more of the above income types)

For Expenditure Transactions:

  • Business Card Purchase - where someone has made a purchase using one of your charity's debit/credit cards
  • Direct Debit / Standing Order - for recurring direct debit transactions and standing orders that leave your bank account
  • Salary Payment - for payments made to staff if you are not using the payroll upload module
  • Expense Payment - where someone has spent their own money, and claimed the money back from the charity
  • Mileage Payment - where someone has claimed business mileage
  • Invoice Payment - where a supplier sends you an invoice and then you make a payment
  • Gift of Money - where your organisation gives a gift of money e.g. to a local charity or a gift of money to a guest speaker
  • Bank / Processing Fee - where your bank or card provider takes a fee for its services

Top tip: If you are trying to retrospectively enter transactions that have already happened, then we'd recommend following this guideance on importing data part way through your financial year.
