Donors without Gift Aid Declarations

You can view all your donors without an active Gift Aid Declaration on the Donors Without Gift Aid Declarations report.

You can use this report to see where you might be missing out on Gift Aid. This can help you prioritise and keep track of which donors need to be followed up.

The ‘Donors without Gift Aid Declarations’ report enables you to see:

  • which donors don’t have valid declarations
  • how much these donors have given over the past 4 years
  • and how much potential Gift Aid you could reclaim if a donor completes a Gift Aid declaration and selects the option to backdate Gift Aid to the start date.

Donors may appear on this report if:

  • their Gift Aid declaration has ended and they need to complete a new one to be uploaded to ExpensePlus
  • they have never completed a Gift Aid declaration

Top tip: Review this report on a regular basis to maximise the Gift Aid income for your church or charity. ExpensePlus prompts you to contact donors:

  • if they need to complete a new Gift Aid declaration because their previous one has ended
  • to invite them to complete a declaration for the first time
  • to check if their situation has changed, and they may now be able to Gift Aid their donations

Donors that are currently not able to Gift Aid

The report helps you manage which donors are currently not able to Gift Aid, and set review reminders to check if they can Gift Aid in future.

ExpensePlus prompts you to contact donors and review their Gift Aid status.

This is because a donor's Gift Aid situation can change, for example they might start paying enough tax which makes them able to Gift Aid their donations.


To mark a donor as 'Not Able to Gift Aid', click the 'x' button to the right of that donor's row.

This will open a form. On this form you must provide a future date to review whether the donor is still unable to Gift Aid.

ExpensePlus defaults this review date to one year in the future, however you can choose when to set the review date.

Donors previously marked as not able to Gift Aid

When you view the report, and keep the box ticked which 'Hides Donors marked as not able to Gift Aid', any donors which have the pencil icon to the right of their row (rather than an X) have passed their review date.

We recommend that you contact these donors if appropriate, and check whether they may now be able to Gift Aid.

If they are not able to Gift Aid, you can update the next review date by clicking the edit button to the right of that donor's row.

This will open the form again. You need to provide a future date to review whether this donor is still unable to Gift Aid.

Note: if you untick the box 'Hides Donors marked as not able to Gift Aid', you will see all donors which have had a review date set, even if the review date has not yet passed.

Donors which are now able to Gift Aid

If a donor becomes able to Gift Aid, ask them to complete a Gift Aid declaration for you to upload.

Adding a Gift Aid declaration will clear the next review date for that donor and remove them from this report.

This donor will then no longer appear on the 'Donors Without Gift Declarations' report until either that declaration ends or that declaration is deleted.
